Privacy Policy
Cogniserve ("Cogniserve", "we", "our", or "us") is a technology services firm based in Panaji, Goa, India. We design and build AI systems, industry-specific software platforms, and digital-transformation solutions for clients across multiple industries.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to:
- Our website at cogniserve.tech and any sub-domains we operate (including cci-gads-mcp.cogniserve.tech);
- The software, dashboards, internal tools, and integrations we build and operate on behalf of our clients ("Client Engagements"); and
- Any data we process from third-party platforms (such as the Google Ads API) in the course of those engagements.

1.Who this policy covers
Cogniserve has two kinds of relationships:
- Website visitors and prospects — people who browse cogniserve.tech, fill in the contact form, or email us.
- Client engagements — businesses that hire us to build, integrate, or operate software for them. In those engagements we often act as a data processor on behalf of the client (who is the data controller). Each engagement is governed by its own contract, which takes precedence over this general policy.
Because every client engagement is different — different industries, data types, regulators, and platforms — the specific data we handle on a given engagement is defined in that engagement's contract, not in this public policy.
2.Information we collect
2.1 From website visitors
- Contact form / email submissions — your name, email address, company, and message contents.
- Server / analytics logs — IP address, browser user-agent, pages visited, timestamps, referrer. Used only to keep the site running and understand aggregate traffic.
- Cookies — only essential cookies required to deliver the site. No third-party advertising or behavioural-tracking cookies are used on cogniserve.tech.
2.2 From client engagements
In the course of building or operating software for a client, we may process:
- Client business data — campaign data, fleet data, charter records, financial records, operational data, or other industry-specific information defined by the client.
- Client end-user data — when our client's customers, employees, or partners use software we built or operate, we may process their data on the client's behalf. The client's own privacy policy governs that data; we follow the client's instructions and our contract.
- Platform / API data — data accessed from third-party platforms (such as the Google Ads API, payment processors, cloud providers, or industry-specific APIs) under credentials the client has authorised us to use.
2.3 Google Ads API data
When a client engagement involves the Google Ads API:
- We access Google Ads data only under credentials authorised by the client (typically a Google Cloud service account linked to the client's Google Ads Manager (MCC) account).
- We access campaign performance, ad creative metadata, account structure, and similar reporting data for the purpose of reporting and analysis only.
- Our access is read-only by default. We do not create, modify, pause, or delete campaigns, ads, budgets, or any other entity unless the client explicitly contracts us to do so.
- We do not sell, share, or transfer Google Ads data to any third party.
- We do not use Google Ads data to train machine-learning models, build advertising profiles of individuals, or for any purpose other than the client engagement it was collected for.
- We retain Google Ads data only as long as the engagement requires; on engagement termination, data is deleted from our systems within a reasonable period unless retention is required by law.
- Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

3.How we use information
We use the information described above to:
- Respond to enquiries and provide the services a client has contracted us to deliver;
- Build, operate, monitor, and improve the software and integrations we deliver;
- Keep our systems secure and prevent abuse;
- Comply with our legal and contractual obligations.
We do not use client data, end-user data, or platform-API data to advertise to anyone, sell to data brokers, or train general-purpose AI models.
4.How we share information
We do not sell personal information. We share information only in these limited circumstances:
- With the client for whom the engagement is being delivered.
- With sub-processors we use to operate our infrastructure — for example cloud hosting providers, server providers, and source-code hosting. We choose vendors with appropriate security practices and bind them with contracts requiring them to protect data.
- When required by law — for example in response to a valid court order, subpoena, or other lawful request from a competent authority.
- In a business transfer — for example if Cogniserve is acquired or merged, in which case we will notify affected parties.
We do not share data across clients. Engagement boundaries are enforced contractually and, where technically possible, through access controls and isolated environments.
5.International data transfers
Cogniserve is based in India and our infrastructure is hosted on cloud providers that may operate in multiple countries. Data may therefore be stored or processed outside the country in which it was originally collected. Where transfers are made, we rely on appropriate safeguards (provider contractual commitments and recognised legal mechanisms) and on the terms of our client contracts.
6.Data retention
- Website contact submissions — retained for as long as needed to respond, plus a reasonable period for follow-up business communications.
- Server logs — retained for short, operational periods (typically up to 90 days) for security and debugging purposes.
- Client-engagement data — retained as defined by the engagement contract. On engagement termination, data is deleted or returned to the client within a reasonable period unless retention is required by law.
- Google Ads API data — see Section 2.3.
7.Security
We use reasonable technical and organisational measures to protect information, including:
- TLS encryption for data in transit;
- Access controls and authentication on systems that handle client or end-user data;
- Service-account credentials and API keys stored with restricted permissions and rotated when required;
- Isolated environments per client engagement where appropriate;
- Logging and monitoring of administrative access.
No system is perfectly secure. If we ever become aware of an incident that materially affects your data, we will notify you and (where applicable) the relevant client and authority without undue delay, in line with applicable law and our contractual obligations.
8.Your rights
Depending on your jurisdiction, you may have rights to access, correct, or delete your information; to object to or restrict certain processing; to withdraw consent; or to lodge a complaint with a supervisory authority.
For data we process on behalf of a client (i.e. as a processor), please direct these requests to the client. We will assist the client in responding.
For data we hold about you directly (e.g. you contacted us via the website), email cogniserve123@gmail.com and we will respond within a reasonable period.
9.Children
Our website and services are not directed at children under 16, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, contact us and we will delete it.
10.Changes to this policy
We may update this policy from time to time — for example to reflect new services, new sub-processors, or changes in law. Material changes will be reflected by updating the "Last updated" date at the top. Where required, we will provide more prominent notice.
